Tips

Allow one chair per participant, teacher and supervisor, plus a few spare chairs. Set up the registration desk separately so arrivals do not block the classroom entrance.
Prepare at least one laptop, projector, full cable set, extension cord and power strip for the presentations. Test the videos and projector connection before participants arrive, not during registration.
For practical sessions, count one referee whistle and watch per active referee, then add two or three spare whistles. Have yellow and red cards, note cards, cones, flags, footballs and marker discs ready before moving to the field.
Plan cups, glasses, plates and cutlery for every participant and staff member, with roughly 10% extra for breakage or second servings. Keep chilled catering in coolers until it is needed rather than leaving it on the registration table.
Pack the small items separately: flipchart markers, projector cables, power strips, cards and whistles are often forgotten even when the larger equipment is ready. Use a short equipment check before leaving for the field.
