  • Confirm registrations and dietary requirements at least 7 days before the party. This gives you time to adjust snacks, cake portions and serving dishes instead of discovering allergies during the buffet.
  • Check the weather 3 days before the party and again on the morning itself. If the treasure hunt or guest seating is outdoors, prepare an indoor route before you start setting up.
  • Chill drinks for at least 4 hours when possible, using coolers or a refrigerator, and keep a separate supply for the first arrivals. Cold drinks are easy to overlook while you are hanging flags and bunting.
  • Set up the treasure hunt and pirate corner before laying out the general decorations. Hide the treasure chest and gold coins at least 30 minutes before guests arrive so children cannot see the route being prepared.
  • Give yourself a 60-minute setup window for tables, chairs, buffet dishes, music and restroom checks. Put pirate hats, eye patches and cloths near the entrance so guests can join the theme as soon as they arrive.
