- Confirm registrations and dietary requirements before calculating food. Make the final guest list at least 3 days before the party, then use it to check catering quantities and tableware.
- Test the complete photo setup before decorating: camera, tripod, ring light, backdrop, laptop, memory card and printer. A printer test should happen while there is still time to replace paper, cables or equipment.
- Charge cameras and spare batteries the day before, and clear memory cards before charging. Keep chargers, extension cords and power strips together so the photo station does not depend on one missing cable.
- Build the backdrop and position the lights before setting out chairs and tables. Leave a clear area in front of the backdrop so groups can stand back without blocking the buffet or walkways.
- Chill drinks and set out glasses shortly before guests arrive, but do not leave the photo printer and cameras for the final 10 minutes. Finish the technical test and playlist first, then handle decorations and table details.
