Pentecost camp shopping list

A Pentecost camp needs more than tents and food. You will be feeding a group outdoors, serving meals, storing fresh produce and keeping equipment dry and organised. Use the list below to prepare the shared kitchen, dining area, sleeping arrangements and arrival point. Check quantities against your registration list before shopping, then leave time to collect chilled and fresh items close to departure.

Tips

  • Plan tableware for the largest meal, not the average headcount. Count one reusable plate, bowl, cup, mug and cutlery set per participant, plus at least 10% extra for loss, damage or items left in tents.
  • Buy and pack cooking equipment as a complete system. Gas burners, gas cylinders, large pots, frying pans, kettles, knives, cutting boards, serving spoons and potholders are easy to overlook when each item is stored separately.
  • Keep chilled food cold from the shop to camp. Collect fresh produce as late as practical, use coolers with ice packs, and allow roughly one cooler space for every 8–10 people if the camp lasts a full day or longer.
  • Prepare drinks for the first hours before anyone arrives. As a starting point, plan two to three drinks per person for the first hour, then add water and hot drinks for the rest of the programme; thermos flasks and pitchers make serving easier.
  • Pack the practical site supplies with the shopping, not after it. Waste bins, tables, benches, chairs and the check-in desk are needed before arrival and meals, while a kitchen tent and shared tent need weather protection from the start.

Frequently asked questions

What food and drinks do I need for a Pentecost camp?
Plan each meal from the final registration count, including dietary requirements, then add about 10% extra portions. For drinks, allow two to three per person in the first hour and provide water throughout the day; buy fresh and chilled items as close to departure as possible.
How much reusable tableware do I need for a camp?
Provide one plate, bowl, cup, mug and cutlery set per participant for the busiest meal, plus 10% spare. For 40 participants, that means at least 44 of each frequently used item, unless you have a washing-up plan between meals.
How early should I buy supplies for Pentecost camp?
Buy dry goods, gas and non-food equipment several days before departure so shortages can still be fixed. Collect fresh produce and chilled food on the day before or the morning of the camp, depending on travel time and cooler capacity.
What kitchen equipment is needed for an outdoor Pentecost camp?
For a shared camp kitchen, plan burners with matching gas cylinders, large cooking pots, frying pans, kettles, coffee machines, thermos flasks, coolers and ice packs. Add measuring cups, mixing bowls, colanders, kitchen knives, cutting boards, serving spoons and potholders before packing.
