- Walk the nature trail before finalising the route. Mark unclear turns with route arrows, check for hazards, and print one map and worksheet set for each participant plus a few spares.
- Collect dietary requirements when registrations come in, not during setup. Wash fruit and vegetables, prepare snacks, and fill the coolers before transporting food to the venue.
- Plan at least 60 minutes for site setup. Place picnic blankets, tables, chairs, tents, information boards and waste bins before laying out the assignments and serving equipment.
- Keep the registration table separate from the food area. Prepare name badges, the participant list and the schedule there so arrivals do not block the buffet or route entrance.
