Language camp shopping list

A language camp needs more than food and drinks. You also need reusable tableware, cooking equipment, language materials and reliable power for laptops and presentations. Use the participant count and number of camp days to calculate quantities, then separate items to buy from equipment to borrow or bring. Order non-food supplies early, and leave refrigerated items and drinks until the final shopping run. Pack one language kit per participant so registration and activities run smoothly from the first session.

Tips

  • Pack one language kit per participant with a notepad, pens, pencils, eraser and any assigned dictionary or worksheet. Prepare these at least one day before arrival so missing items can still be replaced.
  • For shared meals, count one mug, drinking glass, plate, bowl and cutlery set per participant, plus 10% extra. That covers late returns, breakage and the next meal’s setup.
  • Plan hot drinks around the timetable, not just the headcount. Provide at least one kettle and one thermos flask for each serving point, and check that extension cords and power strips reach the tables safely.
  • Keep chilled drinks and refrigerated food in coolers until serving. Do the final cold-food shop within 24 hours of the start, rather than storing everything at the venue several days early.
  • Match printed materials to the groups before packing: prepare one program booklet and worksheet set per participant, then add 5% spare copies. Store each language level in a labelled crate for quick distribution.

Frequently asked questions

What should I buy for a language camp?
Plan food, drinks, reusable tableware, cooking supplies and one language kit per participant. A basic kit includes a notepad, pens, pencils, an eraser and the worksheets or dictionary needed for the programme.
How many cups and plates do I need for a language camp?
Start with one mug, glass, plate, bowl and cutlery set per participant, then add 10% spare. For 30 participants, that means at least 33 of each item if they are used at the same time.
When should I order language camp supplies?
Order non-perishable supplies and printed materials at least 7 days before the camp. Buy chilled food and drinks within 24 hours of the start, unless the venue confirms suitable refrigerated storage.
How many printed worksheets should I prepare?
Print one complete worksheet set per participant and add 5% spare copies. For 40 participants, prepare 42 sets, then sort them by language level before packing.
