  • Confirm the date and location before inviting exhibitors, then collect each exhibitor’s stand size, demonstration time and technical requirements in one place. Missing HDMI cables, USB-C adapters or power access are much harder to fix after setup starts.
  • Create the trade show floor plan before assigning stand numbers. Leave clear routes to the registration desk, display walls and presentation areas, and count power strips, extension cords and cable trays against the actual layout.
  • Close audience registrations with enough time to process dietary requirements and print badge details. A final attendee count at least 3–5 days before the fair gives catering and name-badge preparation a usable deadline.
  • Send exhibitor instructions before arrival day with setup times, stand numbers, Wi-Fi details and what exhibitors must bring. Include a contact person for last-minute questions so the registration desk is not interrupted repeatedly.
