  • Set the tournament format before sending invitations. For example, a group stage followed by knockouts needs a different number of matches and tables than a straight knockout, so use the expected player count to calculate the schedule first.
  • Close registration at least 7 days before the tournament. Use that final list to check names, dietary requirements, badges, match forms and the number of prizes instead of making changes at the desk.
  • Reserve one person for scoring and one for the registration desk for every 4 to 6 playing tables. Players should not have to stop a match to find a scoreboard, form or replacement ball.
  • Check every table, net, paddle and ball at least 48 hours beforehand. Keep spare net clamps and extra balls together at the equipment point; missing small parts can delay an entire round.
  • Plan the room from the playing fields outward. Leave clear passageways, place barriers before players arrive, and set the catering table away from the tables so drinks and serving equipment do not create trip hazards.
