  • Choose the format before sending invitations. A knockout, round-robin or group-stage tournament changes the number of matches, referees and scoreboards you need.
  • Set a registration deadline at least 7 days before the tournament. Use the final list to create the schedule, confirm attendance and collect dietary requirements instead of making changes at check-in.
  • Allow at least 60 minutes for venue setup. Tables, nets and barriers take longer to position than expected, and you still need to test the microphone, speaker and registration laptop.
  • Prepare one competition form and scoreboard for every active match, plus spare paddles, balls and nets. A missing or damaged item can otherwise stop an entire round.
  • Keep registration and catering separate from the playing area. Put the printed participant list, forms, cups and refreshments at dedicated tables so arrivals do not block players or referees.
