- Choose the format before inviting players. A knockout, group stage or combination changes how many matches you need, so allow enough table time and publish the rules with the invitation.
- Set registration and payment deadlines at least 7 days before the tournament. Use the final list to create the draw, collect dietary requirements and avoid rebuilding the schedule on the day.
- Build the match schedule around the actual number of tables. Add a 10–15 minute buffer after each round for unfinished games, score reporting and moving players between tables.
- Check every table, cue, ball set, triangle, chalk holder and scoreboard at least 24 hours beforehand. A missing bridge cue or damaged ball set can delay several matches at once.
