How to organise an operetta performance

An operetta performance needs two plans running together: one for the audience and one for the company backstage. Start by fixing the venue, date, programme and running time, then manage invitations, registrations and dietary requirements. In the final week, check costumes, props, tickets, booklets and technical needs rather than leaving them to the performance day. On the day itself, allow time for the hall, stage, changing rooms, sound, lighting and front-of-house setup before guests arrive.

The full checklist for this plan is being updated. The tips and answers below still apply.

Tips

  • Confirm the programme and running time before printing tickets or programme booklets. Use the final running time to set the audience arrival time and to plan when catering can be served.
  • Close registrations with enough time to review the audience list and dietary requirements. Set aside clearly labelled dietary products before preparing the general catering so nothing is missed during service.
  • Treat the stage and backstage areas as separate setup jobs. Check props, stage curtains, music stands and dressing room racks before the performers arrive, then keep a clear route between the changing rooms and stage.
  • Schedule the technical check before doors open, not during audience arrival. Test wireless microphones, speakers, lights, extension cords and power strips together, and keep spare connection time for adjustments.
  • Set up front of house at least 60 minutes before the first guest is expected. Place the registration desk, welcome and directional signs, cloakroom, chairs and tables first; prepare coffee, tea, water and cake only after the room layout is settled.

Frequently asked questions

How far in advance should I plan an operetta performance?
Fix the venue, date and programme at least 8–12 weeks ahead if possible. Send invitations once the running time and registration process are confirmed, leaving the final 7 days for checks rather than major decisions.
When should I print tickets and programme booklets?
Print them after registrations and the programme are stable, normally 7–10 days before the performance. Check the audience list again on the day and keep a small number of spare copies at the registration desk.
How early should performers and volunteers arrive?
Have performers arrive at least 2 hours before the audience so costumes, props, changing rooms and sound can be checked. Volunteers should be in position 60 minutes before opening, with the registration desk and cloakroom ready.
How long does a technical check for an operetta take?
Allow at least 60–90 minutes for microphones, speakers, music stands, lights and power connections. Add another 30 minutes if the venue equipment or stage layout is unfamiliar.
