  • Choose the tournament game and format before opening registrations. State the team size, match length, scoring system, tie-breaker and expected finish time so players know what they are signing up for.
  • Set the participant limit from the number of complete VR stations, not from the room capacity. If you have four stations and each match uses all four, schedule one match block at a time and keep a short buffer between rounds.
  • Close registrations early enough to assign teams and create the match schedule. Send the final schedule and rules to participants at least 24 hours before the tournament, including arrival time and any food requirements you collected.
  • Test every headset, controller, gaming computer, monitor and Ethernet connection before doors open. Keep spare cables, extension cords, power strips and power banks available; a missing connector can delay an entire round.
  • Mark the VR play areas with cones and floor mats, then separate them from tables, chairs and spectators. Print the match schedule and run the scoreboard from a laptop so players can see which station and round they are assigned to.
