How to organise a start-to-run event
A start-to-run event needs more than a measured route and a group of runners. You need a clear sequence: fix the date and starting location, check permissions, measure the course, then open registration and build the volunteer team. Most problems appear later, when route risks, traffic measures, participant information or catering are left until the final week. Use the plan below to keep registration, course marking, safety, equipment and the finish area moving in the right order.

Tips
- Measure the course before opening registration and record every risk, crossing and confusing turn. Prepare directional signs, route cones and barriers from the measured route rather than estimating quantities on the day.
- Recruit volunteers early enough to assign route checkpoints and running guides. Give each person written instructions, a safety vest and a reliable way to communicate, such as walkie-talkies or a megaphone.
- Set a registration deadline several days before the event, then print the participant list, route maps and bib numbers from the final records. Keep a separate process for late arrivals so the main registration table does not stall.
- Check the weather forecast 48 hours before the start and adjust the finish-area setup if needed. Party tents, drinking water, coolers, reusable cups and waste bins are easy to overlook when attention is focused on the course.
- Test the sound system and power setup before participants arrive. Check portable speakers, wireless microphones, extension cords, power strips and power banks together, and keep the microphone and stopwatch at the start line.
Frequently asked questions
- How far in advance should I organise a start-to-run event?
- Start planning at least 8 to 12 weeks ahead. Record the date and route first, check permits and traffic requirements, then allow time for registration, volunteer recruitment, printing and equipment collection.
- When should I open registration for a start-to-run event?
- Open registration once the route, start location and basic safety arrangements are confirmed, usually 4 to 6 weeks before the event. Close it several days before the start so you can print the participant list, sort bib numbers and collect dietary requirements.
- How many volunteers do I need for a start-to-run event?
- Plan at least one volunteer for registration, one person at each route checkpoint, running guides for the group and a small finish-area team. Confirm assignments no later than 7 days before the event and provide written instructions.
- When should I mark the running route?
- Prepare and check the route signs, cones, ribbon and barriers on the day before the event where possible. Do a final course walk 60 to 90 minutes before the start to replace missing signs and confirm that traffic measures are in place.
