- Choose the route before opening registration, and allow enough time to ride or inspect it once. Mark unclear turns with route arrows and keep a route map at registration and with the lead rider.
- Close registration at least 2 days before the ride so you can check contact details, group sizes and dietary requirements. Print the final participant list rather than relying on a phone signal at the start.
- Assign one lead rider and confirm volunteers at least 3 days ahead. Give each post its own packed materials, including arrows, markers and cable ties, so setup does not depend on one shared crate.
- Check the bicycle repair kit, pumps, spare inner tubes and spare bicycles the day before. Charge phones and power banks overnight, and keep one phone available for the lead rider and one at the start location.
