How to organise a management meeting
A well-run management meeting starts several weeks before people sit down at the meeting table. Build the participant list first, then confirm the room, agenda, presentations and dietary requirements in that order. The final week is for collecting papers, testing the projector and HDMI connection, and confirming food and drinks. On the day, allow at least 60 minutes to arrange the room, set out name badges and notes, and check the coffee, tea and presentation equipment before arrivals.

Tips
- Send invitations as soon as the date and room are confirmed, and ask for registrations and dietary requirements with a clear reply deadline of at least 7 days before the meeting.
- Set the agenda before collecting presentations, then give speakers a firm deadline—ideally 3 working days beforehand—so the meeting papers can be printed and arranged in the correct order.
- Test the laptop, projector, projection screen, HDMI cable, extension cord and presentation remote at least 1 day before the meeting. Do not wait until the first speaker arrives to discover a missing adapter or empty battery.
- Plan catering around the schedule: provide coffee, tea and water from arrival, prepare snacks for the first break, and decide the dinner menu only after dietary requirements have been checked.
- Arrive 60 minutes early to set tables and chairs, place name badges, notepads and pens, connect the equipment, and put meeting documents at each seat. Keep waste bins and cleaning cloths nearby for quick resets between sessions.
Frequently asked questions
- How far in advance should I organise a management meeting?
- Start 3 to 4 weeks ahead if several managers, presentations or a dinner are involved. Confirm the room and invitations first, then collect registrations and dietary requirements at least 7 days before the meeting.
- How early should I arrive to set up a management meeting?
- Allow 60 minutes before the first arrival for the room layout, equipment, documents, name badges and refreshments. Allow another 15 minutes if the projector or meeting room has not been used before.
- What should I include in a management meeting agenda?
- Set a start and finish time for every topic, identify the person leading it, and reserve time for decisions and actions. Send the final agenda with the meeting papers at least 2 working days in advance.
- How much food and drink do I need for a management meeting?
- Plan coffee, tea and water for the full meeting, plus one snack serving per person for each scheduled break. For a dinner, confirm the final headcount and dietary requirements 5 to 7 days beforehand so the menu and quantities can be adjusted.
