  • Set a registration deadline at least 5–7 days before the ride. Use the final list to divide riders by ability, print route maps and identify who needs a spare helmet or other equipment.
  • Check the route twice: once during planning and again 24 hours before departure. Look for road works, sharp descents, poor surfaces and places where groups can safely regroup.
  • Allow 10–15 minutes per bicycle for the technical check-in if many riders need help. Keep pumps, a pressure gauge, multitools, tire levers and spare inner tubes together at the reception area.
  • Give each training group a named leader and a clear departure time. Keep the safety briefing short but specific: explain regrouping points, what to do after a puncture and who to call in an emergency.
  • Prepare drinks and snacks before riders arrive, not during registration. Chill the drinks in advance, set out reusable cups and plates, and keep first aid kits, emergency blankets and charged phones easy to reach.
