Handball tournament checklist: what to arrange and when
A handball tournament depends on several details being ready at the same time: the sports hall, team registrations, referees, match schedule, equipment, catering, and prizes. Start with the date and venue, then work toward confirmed teams and a clear running order. The final week is for checking balls, goals, scoreboards, technology, food quantities, and transport. Use this checklist to keep the planning in sequence and avoid last-minute problems at the hall.

Tips
- Reserve the sports hall before opening registration. Confirm how many playing fields fit, when you can enter for setup, and whether goals, nets, scoreboards, and game clocks are already available.
- Set a firm registration deadline at least 10 to 14 days before the tournament. This gives you time to assign teams, account for dietary requirements, and create a realistic match schedule.
- Confirm referees and first-aid cover no later than one week before the event. Keep their phone numbers with the tournament coordinator rather than relying on messages sent on the day.
- Check every match-day item two or three days beforehand: handballs, a pump and ball needles, whistles, stopwatches, bibs, cones, marker discs, and captain’s armbands. Test laptops, tablets, printers, microphones, speakers, extension cords, and power banks as well.
- Prepare the hall setup plan before arrival. Allow enough time to inspect the floor, position the fields and goals, arrange score tables and team tables, and set out chairs, coat racks, reusable cups, and coffee cups before the first teams arrive.
Frequently asked questions
- How far in advance should I plan a handball tournament?
- Set the date and reserve the sports hall at least 8 to 12 weeks ahead. Open registration once the venue, format, and basic rules are confirmed, then close it 10 to 14 days before the tournament.
- When should I make the handball tournament schedule?
- Create the first schedule after registration closes and team numbers are known, usually 7 to 10 days before the event. Send the confirmed schedule to teams and referees at least 3 days before the first match.
- How many handballs do I need for a tournament?
- Plan at least one match ball per playing field, plus 2 to 4 spare balls for the whole tournament. Check the balls, pump, and ball needles 2 or 3 days before setup so missing equipment can still be replaced.
- When should I order medals and prizes for a handball tournament?
- Order medals and prizes at least 3 to 4 weeks before the tournament, especially if quantities depend on the number of teams. Confirm the final quantities as soon as registration closes and keep the prizes ready at the score table.
