  • Start with the date and route, then contact the municipality about permits and traffic arrangements. Allow at least 8 to 12 weeks for approvals, route coordination and a workable traffic plan.
  • Book medical support, toilets, traffic marshals and the timing system before opening registration. These services can determine your participant limit and are difficult to replace at short notice.
  • Open registration only after the route, start and finish location, timing setup and key safety arrangements are confirmed. Collect dietary requirements during registration so they are not chased manually later.
  • Plan volunteer roles in shifts, including registration, course marking, aid points, finish operations and communications. Send the briefing document and assignments at least 7 days before the race.
