  • Set the format and rules before inviting teams. Decide how many teams can enter, how long matches will last and how points, draws and knockouts are handled; otherwise the fixture schedule may not fit the available field time.
  • Close registrations early enough to build the schedule. Aim to confirm team assignments and dietary requirements at least 7 days before the tournament, then send each team its start time and instructions.
  • Check the equipment against the number of pitches at least 2 days beforehand. Count footballs, spare balls, cones, marker discs, bibs, captain’s armbands, goals, nets, pumps and referee cards rather than assuming one complete set will be available.
  • Plan the off-field flow as carefully as the matches. Reserve changing rooms, place tables and chairs under the party tents, set up the sound system and microphone, and mark the route to the fields before participants arrive.
  • Keep a short event-day reserve for problems. Have first aid supplies and ice packs ready, print the participant list and match schedule, check the weather forecast, and chill drinks while snacks, reusable cups and hot-drink equipment are prepared.
