Farmers' market checklist and organising plan
A farmers' market needs more than stalls and sellers. You must secure the date and location, check permit requirements, assign vendors, plan power and prepare a reliable setup schedule. Perishable stock, payment equipment, signage and waste collection are easy to leave until the last minute. Use this checklist to coordinate the market from the first booking through opening morning, with clear deadlines for vendors and suppliers.
The full checklist for this plan is being updated. The tips and answers below still apply.
Tips
- Confirm the date, location and permit requirements before inviting sellers. Allow at least 6–8 weeks for applications, especially if you need public-space approval or temporary power.
- Create the floor plan before confirming vendor assignments. Mark every stall, table, power point, entrance, payment area and waste collection point so extension cords and signage can be prepared safely.
- Set a firm vendor deadline for registrations, product ranges and dietary information—ideally 2–3 weeks before the market. Send one final reminder 3–5 days before opening with arrival time, stall position and setup instructions.
- Count stock and market supplies separately. Check reusable cups, coffee cups, plates, cutlery, crates, coolers, price cards, wristbands and vouchers at least 48 hours before the event, then buy and chill perishable items as late as practical.
- Schedule setup with a written opening-morning plan. Inspect the grounds first, set out stalls and materials, test coffee machines, kettles, payment equipment, the microphone and speaker, and complete vendor setup at least 60 minutes before visitors arrive.
