Tips

  • Plan one information desk for every 150 to 200 participants, with at least two folding chairs and one high table at each desk. Add a party tent and tablecloth if registration or information will be handled outdoors.
  • Prepare one clear route sign for each major turn, entrance and meeting point, plus a few spare signs. Bring transport carts so volunteers can move signs, water and other supplies without carrying everything by hand.
  • For a moving crowd, provide at least two battery-powered megaphones: one for the front and one for the rear. If you use portable speakers or wireless microphones, test the mixer, power strips and extension cords before the day.
  • Allow roughly 0.5 litres of drinking water per participant for a short march, and more in warm weather. Use reusable drinking cups, water jugs, thermos flasks and coolers with ice packs rather than relying on disposable bottles.
  • If the march may continue after sunset, prepare one flashlight for every route marshal and LED lamps for information points. Pack power banks and spare batteries at least one day before the event, because charging access along the route is rarely reliable.
