Cybersecurity workshop checklist: plan it in the right order
A cybersecurity workshop needs more than slides and a room. Participants need working accounts, practice files, reliable laptops, and a test environment that has been checked before they arrive. This checklist takes you from choosing the date and opening registration to preparing catering, testing the internet, and setting up the room. Use it to keep technical preparation separate from last-minute jobs such as name badges, drinks, and presentation checks.
The full checklist for this plan is being updated. The tips and answers below still apply.
Tips
- Test the complete training setup at least one week before the workshop. Check every laptop, charger, training account, practice file, presentation, and the test environment using the same network participants will use.
- Prepare a small technical fallback, not just a spare cable. Keep backup laptops, chargers, USB sticks, extension cords, power strips, and the network equipment together so a problem can be solved without stopping the session.
- Close registration several days before the workshop so you can compile the participant list, collect dietary requirements, order catering, and prepare name badges. Send the final confirmation once the venue and programme details are fixed.
- Run the room setup on the day before, or arrive at least 90 minutes early. Arrange tables and chairs, set out laptops and chargers, connect the projector and screen, and test the presentation on the actual display.
- Plan food and drinks around the workshop schedule rather than leaving them until the morning. Chill drinks in advance, prepare coffee and tea equipment, and place reusable cups, plates, cutlery, serving platters, and dietary options where they can be reached without interrupting the training.
Frequently asked questions
- How far in advance should I organise a cybersecurity workshop?
- Start at least 4 to 6 weeks ahead. Confirm the date and venue first, then open registration; use the final 1 to 2 weeks for participant details, training accounts, materials, catering, and technical tests.
- When should I test laptops and the cybersecurity training environment?
- Run a full test 7 days before the workshop and repeat the key checks on the day. Test the internet connection, network equipment, laptops, chargers, accounts, practice files, presentation, and backup materials.
- How many backup laptops do I need for a cybersecurity workshop?
- Prepare at least 1 tested backup laptop for every 10 to 15 participants, with a charger for each one. For a small group, keep at least 2 working backups available if the workshop depends on hands-on exercises.
- When should I send the final confirmation to participants?
- Send it 3 to 5 days before the workshop, after processing registrations and compiling the participant list. Include the start time, venue details, what participants need to bring, and any relevant dietary or access information.
