Creative workshop shopping list
A creative workshop needs more than paper and pencils. You will also need enough table space, workstation materials, presentation equipment, refreshments and serving items for the group. Use the participant count to work out quantities, then add a small reserve for spills, damaged materials and late registrations. Check power access and food requirements before shopping, because extension cords, dietary information and chilled drinks are easy to leave until the last minute.

Tips
- Prepare one complete materials set per participant, then add 10% extra paper and basic drawing supplies. This gives you a spare set for mistakes, damaged materials or an unexpected attendee.
- Plan one work table and one chair per participant, with enough room for floor mats and personal supplies. Set up the workstations before guests arrive so registration does not delay the workshop.
- For a two-hour workshop, allow at least 500 ml of drinks per person, plus coffee or tea. Chill drinks in advance and check whether your coolers, kettles, coffee maker and thermos flasks are sufficient.
- Bring one presentation setup with a laptop, screen and flip chart, and test it at the venue at least 30 minutes before the start. Pack extension cords and power strips rather than assuming sockets will be close to the workstations.
- Buy or pack serving items for the full group, including plates, bowls, cutlery, glasses and coffee cups. Add waste bins and serving platters to the setup; these are often forgotten when the focus is on creative materials.
