Children’s Reading Afternoon Checklist

Use this checklist to organise a calm, well-paced reading afternoon for children. Start by booking a suitable room and choosing more books than you expect to read, then confirm registrations, dietary requirements and read-aloud facilitators. On the day, allow time for the reading corner, name badges, snacks and a clear welcome. The plan covers preparation, room setup, storytelling, refreshments and closing tasks so you can check each stage in the right order.

Tips

  • Choose the room and reading layout at least two weeks ahead. Leave space for children’s tables, chairs, blankets or beanbags, a coat rack and a separate drinks and snack table.
  • Prepare one main picture book plus at least two spare picture books. Book stands make illustrations easier to see, especially when the group is larger than 10 children.
  • Set a registration deadline 5–7 days before the afternoon. Use the final list to confirm attendance, collect dietary requirements and prepare name badges before the event.
  • Keep the schedule in short blocks: allow about 20 minutes for the first read-aloud, 10 minutes for questions and discussion, and a 10–15 minute break for drinks and snacks.
  • Pack a separate setup box with markers, paper, tablecloths, reusable cups, serving platters, water jugs and cleaning cloths. Chill drinks on the morning of the event and check the room, extension cord and waste bins before children arrive.

Frequently asked questions

How far in advance should I organise a children's reading afternoon?
Book the room and contact read-aloud facilitators at least 2–3 weeks ahead. Send invitations around 10–14 days before the event and close registrations 5–7 days before it.
How many books do I need for a children's reading afternoon?
Plan one main read-aloud book and at least two spare picture books. For a group of up to 15 children, bring 3–5 books so you can adjust the programme for attention spans and ages.
How long should a children's reading afternoon last?
Allow 90 minutes to 2 hours in total. A practical format is 20 minutes of reading, 10 minutes of discussion, a 10–15 minute snack break and a second reading or activity block.
When should I prepare snacks and drinks for the reading afternoon?
Buy groceries 1–2 days beforehand and check dietary requirements before shopping. Chill drinks on the morning of the event, then set out snacks and reusable tableware shortly before participants arrive.
