  • Set the tournament format before opening registration. Decide how many rounds, the time control and the maximum number of players are needed, then put those details in the rules and registration form.
  • Test the pairing system with sample players at least 48 hours before the tournament. Check that it can produce the first-round pairings and print a schedule without relying on an untested Wi-Fi connection.
  • Count complete chess sets before setup: one board, one set of pieces and one working clock for every active table, plus the spare chess clocks listed in the plan. Test batteries and cables on the day before players arrive.
  • Confirm participants and dietary requirements 2–3 days in advance. Use the final headcount to order catering, prepare name badges and avoid setting out too many or too few cups, plates and cutlery.
  • Open the venue at least 90 minutes before the first round. Set up tables and chairs first, then boards and clocks, the registration desk and catering table; keep the printer, laptop, extension cords and power strips together at the desk.
