Chess tournament checklist

A chess tournament runs smoothly when the decisions that affect the schedule are made early. Set the format and rules before opening registration, then confirm the venue, equipment, volunteers and catering as entries come in. On tournament day, allow time to check every board and clock, prepare the registration desk and post clear room signs. This checklist covers the practical work from the first planning step through opening the hall and presenting prizes.

Tips

  • Set the tournament format before sending invitations. Decide the number of rounds, time control, age or rating groups and maximum capacity so players know what they are registering for.
  • Close registrations early enough to check the final participant list and pairings. Collect dietary requirements at registration rather than trying to identify them while catering is being served.
  • Test every digital chess clock before players arrive and keep spare clocks ready. Also count boards, pieces, score sheets, pens and clipboards against the number of playing tables, plus a small reserve.
  • Plan the room around the registration desk, playing tables, spectator space and catering area. Set tables and chairs before placing boards, then leave clear routes to power strips, extension cords and exits.
  • Prepare prizes and certificates before the first round, not during the final games. Fill coolers, set out cups and serving equipment, and print venue cards so volunteers can focus on players and timings.

Frequently asked questions

How far in advance should I organise a chess tournament?
Start planning at least 6 to 8 weeks ahead. Reserve the venue and set the format first, then open registration once the rules, schedule and capacity are clear.
How many chess boards do I need for a tournament?
Plan one complete board, set of pieces and clock for every game played at the same time. For 40 players in 20 simultaneous games, prepare 20 playing sets and keep at least 2 spare clocks available.
When should chess tournament registration close?
Close registration 3 to 7 days before the event when possible. That gives you time to check names, dietary requirements, pairings, certificates and the room layout.
How early should volunteers arrive for a chess tournament?
Have the setup team arrive 90 to 120 minutes before the first round. The hall still needs tables, chairs, boards, clocks, the registration desk, catering and signs checked before players enter.
