  • Confirm the musicians and music programme before sending final event details. Keep the programme with the sound setup notes so the person running the mixer knows when each act and microphone is needed.
  • Check the weather forecast twice: once during the final planning week and again on the morning of the event. If rain is possible, inspect the site before building the party tents and keep lighting, audio cables and food under cover.
  • Treat power as a separate setup task. Check the available supply before connecting active speakers, the audio mixer, string lights, kettles and coolers, then test every extension cord and power strip before guests arrive.
  • Plan guest arrival before the buffet opens. Put the welcome sign and welcome desk in place first, keep registrations and dietary requirements accessible, and set waste and recycling bins where people can see them.
