Breakfast meeting checklist: what to arrange and when

A breakfast meeting runs smoothly when food, access and room setup are planned in the right order. Start with invitations and dietary requirements, then confirm the venue, menu and supplies before shopping. On the day, prepare chilled drinks, fruit, eggs, bread and hot drinks while setting up the buffet and coffee station. This checklist also covers details people often leave until the last minute, such as allergen cards, name badges, table linens and enough power for coffee equipment.

Tips

  • Send invitations early enough to collect registrations and dietary requirements before finalising the breakfast menu. Close registration at least 3–5 days before the meeting so you can prepare an accurate allergen list and shopping plan.
  • Confirm venue access and power at least 48 hours beforehand. Count coffee machines, kettles and thermos flasks, then check whether you need extension cords or power strips for the coffee station.
  • Shop and check supplies 1–2 days before the meeting, including plates, bowls, cups, glasses, cutlery and serving utensils. Clear space in cold storage before chilling drinks and storing prepared food.
  • Prepare items with limited shelf life on the morning of the meeting: wash and cut fruit, boil and peel eggs, and set out bread and toppings. Keep chilled food cold until the buffet is ready to open.
  • Finish the room and buffet setup at least 30 minutes before guests arrive. Place name tags and allergen cards where they are easy to read, and keep waste bins near the food and coffee stations.
