Book Swap Fair Checklist
A book swap fair needs more than a room full of books. Decide how the exchange works before you invite people, then use registrations to estimate tables, volunteers, labels and refreshments. The final week is when small details tend to slip: printing book lists, preparing vouchers, charging devices and confirming access to the venue. This checklist puts those jobs in a workable order, from booking the space to setting up the tables and welcome area on the day.

Tips
- Set the exchange rules before sending invitations. State how many books each visitor may bring, whether books must be in good condition, and how exchange vouchers are issued.
- Use the registration list to plan the room. Confirm the number of tables, then leave enough space for bookshelves, a coat rack, waste bins and clear signs between categories.
- Prepare labels, category cards, name badges and exchange vouchers several days before the fair. Printing them on the morning leaves no margin for a printer, label printer or laptop problem.
- Check refreshments against registrations rather than guessing. Collect dietary requirements in advance, and have reusable mugs, glasses, serving trays, coffee machines and kettles ready before guests arrive.
- Pack and test equipment the day before. Charge laptops, phones and tablets, check chargers, extension cords and power strips, and keep tape and pens with the printed materials so setup does not stall.
Frequently asked questions
- How far in advance should I organise a book swap fair?
- Start planning at least 4 weeks before the fair. Confirm the venue and exchange rules first, send invitations after the registration form is ready, and finish printing and packing at least 1 day before the event.
- How many tables do I need for a book swap fair?
- Plan the table count from the expected number of books and categories, not just the number of visitors. As a starting point, allow 1 table for each main category and add 1 extra table for registration, vouchers and books that need sorting.
- What should visitors bring to a book swap fair?
- Tell visitors exactly how many books they may bring and what condition they should be in when you publish the exchange rules. If the fair uses vouchers, explain whether visitors receive 1 voucher per accepted book and how many books they may take.
- When should I print book labels and exchange vouchers?
- Prepare the print files at least 3 days before the fair and print the labels, vouchers, badges and book lists no later than the day before. Keep a small blank supply and spare pens for last-minute registrations or relabelling.
