Tips

  • Ride the full route before inviting people, ideally at least 2–3 weeks ahead. Record the distance, rest areas, hazardous spots and any sections where route arrows or cones will be needed.
  • Set a registration deadline 7–10 days before the ride. Use the final participant list to create the lineup, assign escorts and collect dietary requirements rather than trying to organise groups at the start.
  • Prepare route support for the slowest rider, not the average pace. Place route arrows and hazard markers before riders arrive, and keep bike repair kits, pumps and spare inner tubes with the support team.
  • Create one emergency contact sheet with participant phone numbers, emergency numbers and escort assignments at least 3 days before departure. Charge mobile phones, walkie-talkies and power banks the evening before.
  • Check the weather forecast 24–48 hours before the ride and tell participants what changes. Pack lighting, headlamps and spare batteries if any part of the route may run into low light, even when the ride starts during the day.
