- Check the route at least 2β3 weeks before the ride, including every rest stop and any section where signs or cones will be needed. Allow extra time for roadworks, steep climbs and places where riders may split up.
- Set a registration deadline 7β10 days before the event. Use the final participant list to confirm dietary requirements, prepare quiz forms and estimate cups, plates, catering and participant packs.
- Print quiz forms, answer sheets and route maps at least 2 days ahead, then pack them by team or rider. Keep spare copies and pens at the registration desk rather than leaving all materials at the start.
- Assign volunteers to specific jobs before the event: registration, route signs, rest stops, scoring and bicycle support. Give each person a reporting time and a phone contact so problems do not remain unnoticed on the course.
- Check the weather forecast 48 hours before departure and again on the morning itself. Put tents, tables, bicycle parking, lights, pumps, repair kits and spare inner tubes where riders can find them without blocking registration or refreshments.
