What you need for a bicycle race

A bicycle race needs more than bikes and a finish line. You will need equipment for registration, timing, route control, rider support, repairs and communication, plus shelter and furniture for officials and volunteers. Plan quantities around your number of riders, course length and number of stations. Order printed materials, transponders and prizes early, and check power, weather protection and spare repair supplies before collection day.

Tips

  • Prepare one race number and back-number holder per rider, plus at least 5% spares for late registrations, damaged numbers and replacements. Keep wristbands and the participant list at registration.
  • Provide a traffic-control kit for every course station: cones, barrier tape and, where needed, crowd barriers. Count stations before ordering so signs and control materials are not shared between locations.
  • Set aside repair supplies for the number of riders, not just the number of bikes. Have pumps, tool sets, spare inner tubes, tire levers and maintenance oil ready, along with spare bicycles if your plan includes them.
  • Test the timing and communication setup at least 24 hours before the race. Charge stopwatches, tablets, walkie-talkies and power banks, and bring extension cords for the start-finish area.
  • Plan shelter and seating for registration, judges, volunteers and refreshments. Put tables and chairs under party tents, and place waste bins where riders and spectators actually gather rather than only near the finish.

Frequently asked questions

How many race numbers should I buy for a bicycle race?
Buy one race number per registered rider and add at least 5% spare numbers. For 100 riders, that means 105 numbers, with matching back-number holders if those are used.
How many spare inner tubes do I need for a bike race?
A practical starting point is one spare inner tube for every 10 riders, with a minimum of 5 tubes for a small race. Add more for a long course, poor road conditions or limited access to repair support.
When should I order printed race materials and prizes?
Place the order at least 2 to 3 weeks before race day. This gives you time to check names, numbers, logos and quantities and still correct a printing or delivery problem.
How many walkie-talkies are needed for a bicycle race?
Provide one walkie-talkie for the race director, start-finish team, judges or timekeepers, first-aid lead and each key course station. For a race with six stations, plan on roughly 10 to 12 units after allowing for spares.
