  • Build the match schedule only after registrations close, and leave at least 10–15 minutes between rounds if players may be needed on different courts. Print a copy for the reception desk and keep a digital version on the laptop.
  • Check every badminton net, net pole, racket and scoreboard before event day. Keep spare shuttles courtside and test the field marking, game clocks and whistles before the first match.
  • Assign one volunteer to each active match or court, plus at least one person at reception. This prevents registration, scorekeeping and player questions from falling on the same person.
  • Plan drinks and food around the tournament timetable, not just the headcount. Chill drinks before doors open, prepare coffee and tea in advance, and label dietary requirements before catering is served.
  • Set up the hall in a fixed order: playing fields and nets first, then tables and chairs, reception, scoreboards and refreshments. Start early enough to finish setup before participants need to register, rather than assembling equipment during the opening briefing.
