  • Reserve the venue before sending invitations and check the number of available courts. Build the schedule only after registration closes, leaving time between matches for changeovers, score updates and delays.
  • Close registration early enough to create the draw and print match cards. A deadline at least 5–7 days before the tournament gives you time to process entries, check dietary requirements and inform every participant.
  • Check sports equipment against the number of courts, not just the number of players. Count nets, poles, shuttles, scoreboards and spare rackets, and keep spare grips, net tape and athletic tape accessible on the day.
